The short answer

A good HVAC invoice template shows your business name, license number and contact details, the customer and the address, an invoice number and date, the equipment you worked on with its model and serial number, labor, parts, refrigerant if you added any, the total, the due date and how to pay. Below is one to copy for service calls and one for a new system install.

Put the equipment at the top of the invoice. When the same customer calls next summer, you or anyone on your team can see what's in the attic without climbing up there.

HVAC service invoice for a repair or tune-up

A no-cool call in July and a spring tune-up look different on paper. Say which one it was, what you found and what you did, so the customer knows why the number is what it is.

  • Say what was wrong. Outdoor unit not starting, failed capacitor.
  • Say what you did. Replaced the capacitor, checked the contactor and the charge.
  • Note what's coming. Coil is dirty and the system is 12 years old, worth planning for.

Invoicing a new system install

An install has the most lines and the most questions later. Keep the equipment, the materials, the permit and the old unit's removal on separate lines, in the same words as the estimate, and note the warranty registration.

Invoicing maintenance plan visits

Customers on a plan already paid for the visit, so the invoice is about anything extra. List the plan visit with no charge, then any parts or repairs they said yes to, so they see the plan working.

  • A plan visit billed as if it were a service call
  • A filter or part the plan already covers
  • A repair you did without the customer's OK

Sending it before the next call

The best time to send an HVAC invoice is while the house is cooling down. The ones that slip are the refrigerant top-off and the second unit you looked at while you were there. Check the day's calls against the day's invoices before you're done, or have it checked for you with a draft waiting.

By hand5 steps
  1. Check today's jobs
  2. Read the techs' notes and photos
  3. Fill in an invoice for each job
  4. Save it as a PDF
  5. Email or text it to the customer

For every call, usually at the end of a hot day.

Your business name, license number and contact details, the customer and the address, an invoice number and date, the equipment with its model and serial number, labor, parts, refrigerant added, the total, the due date and how to pay.

Yes. Write the type and how many pounds you added. Customers and landlords ask about it more than any other line, and it helps the next tech know the system's history.

Show the plan visit as included, then list anything extra they said yes to. It reminds them what the plan covers and makes the extra lines easy to approve.

Check the day's calls against the invoices you sent before you finish for the night. Top-offs and second units slip most. In a Commonhouse setup, AI drafts the missing invoices from your tech notes and a person on your team checks and sends each one.
