The short answer

A good plumbing invoice template shows your business name, license number and contact details, the customer and the job address, an invoice number and date, labor, each part by name, any trip or after-hours charge, the total, the due date and how to pay. Below is one to copy for service calls and one for a bigger job like a water heater swap.

Plumbing service invoice for a repair call

Most service calls are one visit, one fix and a handful of parts. Write what you found, then what you did, so the invoice tells the story without you on the phone.

  • Say what was wrong. Leaking supply line under the kitchen sink.
  • Say what you did. Replaced the line and the shutoff valve.
  • Note anything you saw but didn't fix. Water heater is 14 years old, worth a look this year.

Invoicing a bigger plumbing job

A water heater swap or a repipe has more lines, so group them. Removal, the new unit, the parts to fit it and haul-away each get their own line, in the same words as the estimate.

What to leave off a plumbing invoice

The lines customers question are the vague ones. Clear lines get paid on the first try.

  • "Materials" as one line with no detail
  • A part you quoted but didn't use
  • An after-hours charge you never mentioned on the phone

Sending it before you leave the driveway

The best time to send a plumbing invoice is while the customer can still hear the water running right. The ones that slip are the second fix you did while you were there and the call that ran late. Check the day's jobs against the day's invoices before you're done, or have it checked for you with a draft waiting.

By hand5 steps
  1. Check today's jobs
  2. Find the parts receipts from the truck
  3. Fill in an invoice for each job
  4. Save it as a PDF
  5. Email or text it to the customer

For every call, usually at the end of a long day.

Put your business name, license number and contact details at the top, then the customer, the job address, an invoice number and date. List the labor, each part by name, any trip or after-hours charge, the total, the due date and how to pay. Use the same words you used on the estimate.

Yes. Name each part and its size on its own line. Customers pay faster when they can see what went into the job, and it saves a call asking what "materials" means.

Many states ask licensed plumbers to show it on estimates and invoices, and it never hurts. Check your state's licensing board for the exact rule.

Check the day's jobs against the invoices you sent before you finish for the night. The extra fix you did while you were there slips most. In a Commonhouse setup, AI drafts the missing invoices from your job notes and a person on your team checks and sends each one.

Bill it before the drain's dry.
